Inquiry Letter and Order Letter


1.      LETTER OF INQUIRY

Inquiry Letter is a letter written to request information and/or ascertain its authenticity. A letter of inquiry deals with various matters like job vacancies, funding, grants, scholarships, projects, sales, pre-proposals and others. The term is common in various business setups as it implies fund request or pre-proposal information. Owing to this usage, the term may be considered exclusive to these setups alone. But that is not the case, to this effect the below definition offers a justified meaning.Format of a Letter of Inquiry

Follow this format in writing a letter of inquiry:
  1. In the first paragraph, identify yourself and, if appropriate, your position, and your institution or firm.
  2. In the second paragraph, briefly explain why you are writing and how you will use the requested information. Offer to keep the response confidential if such an offer seems reasonable.
  3. List the specific information you need. You can phrase your requests as questions or as a list of specific items of information. In either case, make each item clear and discrete.
  4. Conclude your letter by offering your reader some incentive for responding.
As for the things contained in the letter of inquiry is everything related to important information about an item from a company (seller), among others:

        Catalogue
        Pricelist
        Quantation
        Terms of payment
        Terms of delivery
        Delivery time
        Deadline
        Method of dispatch/ transport/delivery)

2. ORDER LETTER
Order letter/Placing order is a document or letter that confirms the details of a purchase of goods or services from one party to another. Example when we will buy some product in a company, we must send order letter for request that product and when the recipient in that company receives this letter, they will process the order and send the product.
         An Order Letter is the one that is written by the person/company placing the request of purchase from another company. This letter comes into action only when a detailed study of the desired product has been done in the market and based on promised service, quality and price of the product, a decision for a purchase has been made.
 An Order Letter should be drafted very carefully as it needs to pen down all the terms and conditions of the purchase for the benefit of both involved parties.
Things to be aware when writing a order letter :
·         An Order Letter should be addressed to the person responsible for executing the order
·         include all the terms and conditions agreed upon by both involved parties
·         Since it is purely an official letter it should be typed out
·         There is no need to use too many adjectives in the letter since it is purely for an order being placed
·         The letter should have all rtelevant details related to the order, for example, quantity, price and other terms and conditions
